Peppol without accounting software
Many sole traders write invoices in Word or Excel and hand everything to their accountant. Since 1 January 2026 that's no longer enough for invoices to Belgian VAT-registered customers: those must be structured e-invoices [2]. The good news: you don't need a full accounting package. There are solutions aimed specifically at businesses with few invoices [1].
First: what do you actually need to do?
- Send: if you invoice Belgian VAT-registered customers.
- Receive: almost always, even if you only invoice consumers, because your suppliers (telecom, energy, accountant) send you e-invoices [2].

Four kinds of solutions
1. A simple invoicing app
You create your invoice in an app instead of Word. The app sends it over Peppol and receives your purchase invoices. Your accountant gets access or an export. Examples, in alphabetical order:
| Product | Price (as stated by the vendor) |
|---|---|
| Accountable | free in the mobile app (unlimited invoicing, Peppol receiving); web version from EUR 9.90/month excl. VAT, annual plan [5] |
| Billit | from EUR 6.90/month (up to 25 documents, billed yearly) [9] |
| onFact | free up to 3 sales documents a month; Pro EUR 15/month excl. VAT [4] |
| Teamleader One | EUR 99 a year [3] |
2. Have your invoice converted
You keep working in Word or Excel; a service converts your invoice and sends it over Peppol. For example Doccle: receiving free, sending with DocclePro for EUR 4/month excl. VAT [6]. e-invoice.be charges per invoice (EUR 0.25 excl. VAT, prepaid packages from EUR 350) and forwards received e-invoices to your mailbox [8].
Note: the FPS Finance recommends creating invoices in structured form from the start. Converting a PDF with text recognition (OCR) remains error-prone, and you lose much of the benefit [1].
3. An access point's web portal
Some Peppol service providers offer a simple web interface. From 1 November 2026, Peppyrus has a free plan of up to 100 Peppol messages a month, with unlimited receiving [7].
4. Through your bank or accountant
Several Belgian banks and accounting firms offer a Peppol solution to their clients. See free Peppol through your bank. Ask your accountant too: many firms use a platform where you can receive invoices.
How to choose
The FPS Finance puts three questions first [1]:
- Do you only want to meet the legal obligation, or also want quotes, payment reminders and recurring invoices?
- How do your invoices reach your accountant: automatically, through a link, or by hand?
- How do you archive your invoices? Retention rules don't change.
One provider at a time
Your enterprise number can only be registered with one Peppol provider at a time. If you use two tools (one to send, one to receive), check who receives your invoices with the Peppol ID lookup.
More options: free Peppol and Peppol prices.
